Policy and consent version: v1
This policy covers the application form on cuecumber.club, which clubs use to apply for CUEcumber for clubs. It is written for the people who apply on behalf of a club: owners, managers, organisers and staff.
Who controls your data
CUEcumber is the controller of the personal data collected through this form. For privacy questions, requests, or deletion, email privacy@cuecumber.io. For general help, email support@cuecumber.io.
What we collect
When you apply, we collect:
- your club's name, city and country, the cue sports played there, and its number of tables;
- your name, your role at the club, and your work email;
- your phone number and a message, if you add them;
- the version and time of your consent;
- referral and UTM campaign details from the link you used, when present; and
- the country your request came from, derived from Cloudflare's country header.
We also keep the time your application was created and last updated, and an internal status that shows where it is in our follow-up (for example, new or contacted). If you apply again with the same work email and club name, we update your existing application instead of creating a new one.
We use your IP address briefly to limit abusive requests. We do not store IP addresses in our database or application logs. The form's spam checks, including the Turnstile token, are not stored with your application.
Why we use it
We use your details to review your application and to contact you personally about CUEcumber for clubs and the first 50 clubs offer: a short call, setting up your club, and launching in your city. We also use grouped totals, such as applications by city or country, to plan where CUEcumber launches. We do not make automated decisions about your application.
Our lawful basis is your consent under Article 6(1)(a) of the GDPR. Your consent also covers us contacting you by email or phone about CUEcumber for clubs under Article 398 of Poland's Electronic Communications Law. You may withdraw it at any time by emailing privacy@cuecumber.io. Withdrawing consent does not affect processing that was lawful before your withdrawal.
Kept apart from player data
Club applications are stored in their own database, separate from the player waitlist on cuecumber.io. We do not combine the two.
Service providers and sharing
Cloudflare processes data for us. It provides hosting, our D1 database in the EU jurisdiction, Turnstile bot protection, and cookieless Web Analytics. We do not set tracking cookies, and we do not sell your personal data.
Your application is stored in the EU. Cloudflare's global network may handle requests, such as Turnstile checks, outside the European Economic Area under Cloudflare's data processing terms, which include the EU Standard Contractual Clauses.
We do not share your application with players, other clubs or marketing partners. We may disclose data if the law requires it.
How long we keep it
We keep your application only as long as we need it to talk to you about CUEcumber for clubs. We delete it when the first of these happens:
- you withdraw your consent or ask us to delete your data;
- we and your club agree that it will not take part in the pilot; or
- the pilot has closed and CUEcumber has launched in your city, so we no longer need to contact you about it.
If your club joins the pilot, we keep the details we need to work together and will tell you how we handle them from then on.
Your rights
You can ask us to:
- give you access to your personal data;
- correct inaccurate data;
- delete your data;
- restrict how we use it;
- provide a portable copy; or
- stop processing it by withdrawing your consent.
Email privacy@cuecumber.io to exercise any of these rights.
You may also complain to the Polish data protection authority, the President of the Personal Data Protection Office (Prezes UODO), at uodo.gov.pl.
Changes
If this policy changes, we will update the date and version shown at the top of this page. A new use of your data may require new consent.
